GrassWorx: thousands of job site photos, off phones and into one library.

GrassWorx makes hybrid turf that real grass grows through: Natura for dog yards and parks, InstaTurf for erosion control, DuraGrass for lawns. Its sales team documents hundreds of installations a year, and the company was paying more and more to store images it could barely find. We built the capture app, moved the team onto it, and advised on the SharePoint library behind it.

01 / THE PROBLEM

A product that sells on photos, and photos nobody could find.

GrassWorx sells on evidence. Natura keeps a dog's paws above the mud while grass grows through it, and it has been endorsed by PACCC and The Dog Gurus. InstaTurf gives immediate erosion protection on channels and streambanks. DuraGrass protects the crown of a lawn so worn grass regrows. Every one of those claims is best made with a before and after photo from a real site.

The sales team was taking those photos on every visit, and then they were stuck: on phones, in text threads, in a growing set of paid storage plans that cost more each year and still could not answer a simple question like show me every Natura dog park install in a wet climate. The company approached us because the storage bills had become the visible symptom of a filing problem.

02 / WHAT WE BUILT

A capture app for the field, a library for the office, and the migration between.

We designed and built a capture app that meets reps where they are: take the photos, answer a short form about the job and the product, and let the app do the rest. The integration pushes images and tags into the company's database and files them into a SharePoint document library, in the right folder, with metadata the office can filter on.

The second half of the work was people. We supported the sales team through the move, tuned the form until it took less time than texting a photo to the office, and consulted on how the SharePoint library should be structured so it stays useful as it grows. Today it holds thousands of project images across hundreds of job sites.

A fractional product team for a company that does not need a full one.

GrassWorx did not need a software team on payroll. It needed one that shows up when the sales process changes, a new product line launches, or the library needs a new view. That is how we work with them: a small standing commitment, a roadmap that follows the business, and the same people every time.

05 / WHAT IT TAUGHT US

The expensive problem is rarely the real one.

The brief arrived as a storage bill. The real problem was that a sales organisation's best evidence was invisible to the people who needed it. Solving the filing solved the cost, and gave marketing an asset it never had. We try to find that second problem on every project.
